California College Guidance Initiative

Remote/Virtual, must reside within California — Full-Time

 

The California College Guidance Initiative (CCGI) is looking for a Deputy Director of Operations. As part of the CCGI team, you will lead the ongoing development of the Salesforce infrastructure for an innovative education organization dedicated to smoothing the pathway to college for California K-12 students.

The ideal person for this team is a strong Salesforce administrator with excellent project management, communication, and management skills.

 

The Deputy Director of Operations manages a small team responsible for the development and maintenance of operational infrastructure, policies and procedures in a quickly growing organization. The Deputy Director of Operations is the primary Salesforce administrator, responsible for ensuring alignment of Salesforce functionality with business needs. As Salesforce provides our core infrastructure for business operations, we are looking for a certified Salesforce administrator who will keep up to date on emerging functionality to drive ongoing improvements in our tools.

 

The Operations team is responsible for maintenance of all software licenses, equipment, and supplies, as well as general administrative functions. They are additionally responsible for a portion of staff on and offboarding, procurement, contracting and other functions that require close collaboration with CCGI’s Fiscal Agent, the Foundation for California Community Colleges.

 

We work to solve large scale, system-level problems. You must be comfortable working with unknowns and ambiguous solutions, as well as passionate about promoting public education and advancing educational equity.

 

What Will You Be Doing?

—   Lead design, development and maintenance of Salesforce Instance informed by key business objectives.

—   Regularly evaluate the efficiency of business procedures and recommend/implement improvements.

—   Lead collaboration with CCGI’s fiscal sponsor which provides back end services including Human Resources, Legal and Contracts, IT, and Fiscal Management. 

—   Develop and maintain operational protocols for items that fall within the purview of the operations as team as well as cross team/organization wide practices.

—   Supporting the ongoing improvement of Operations Team performance.

 

What Skills Do You Need?

—   Proven effectiveness as a Certified Salesforce Administrator.

-       The candidate should have the following current and Kriterion verifiable Salesforce Certifications:

-       Salesforce Administrator

-       Salesforce Platform App Builder

-       Salesforce Platform Developer (desirable, but not required)

—   Minimum of three (3) + years of operational leadership including increasing levels of management and project management responsibilities.

—   Strong documentation skills.

More About the Operations Team

CCGI’s Operations team is focused on providing administrative infrastructure and support to all CCGI staff. This is a small and nimble team that handles a wide range of administrative functions from contracting and purchasing to scheduling and front line IT support on all internal software programs. There are currently two uncertified Salesforce Administrators who can provide support to the Deputy Director in managing Salesforce training, support, and cases.

 

This role reports directly to the President and will work closely with other members of organizational leadership.

The California College Guidance Initiative works to ensure that all 6th-12th grade students in California have access to a systematic baseline of guidance and support as they plan, prepare, and pay for postsecondary education and training. We partner with K-12 school districts to support students, counselors, and parents with the systematic use of CaliforniaColleges.edu, the State of California’s official college and career training platform. CaliforniaColleges.edu also houses, audits, and transmits student data to help ensure more accurate and efficient decisions regarding admissions, financial aid, and course placement.

Everyone at CCGI works remotely. We are all located in various parts of California. We rarely meet in person. Instead, we make use of tools, such as ZOOM, Slack, and Salesforce to communicate and document our work.


CCGI is housed at the Foundation for California Community Colleges, but is an autonomous initiative with its own mission, goals, and leadership team.

 

Working Conditions, Travel, and Physical Requirements

This is a full-time position, 40 hours per week, with additional hours as needed to address the needs of the organization. Employees are required to have the ability to work remotely successfully and at a computer workstation for periods up to 4 hours at a time and for up to 8 hours per day for up to five consecutive days. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions/physical requirements of the job. Additional requirements are following:


  • Ability to speak on the telephone for a total of up to 3 hours per day.
  • Ability to sit for up to 3 hours without breaks at meetings; Ability to walk and stand for up to 4 hours without breaks at program site visits and meetings.
  • Ability to perform repetitive movements, such as typing, filing, and the use of commonly used office machines and supplies.
  • Ability to operate personal vehicle for Foundation business and possess current valid California driver’s license and insurance.
  • Ability to lift and move a minimum of 20 pounds.
  • Well-lighted, heated, and air-conditioned indoor office setting with adequate ventilation.
  • Pending removal of COVID restrictions, overnight travel (up to 5%) by land and air.
  • This is a remote position that requires a quiet home office space.
