Learn more at www.allchicago.org Position Summary: The Salesforce Administrator will lead the ongoing development of our Salesforce.com deployment. The successful candidate will have a record of success in improving processes and user adoption of software/CRM platforms. The administrator will work closely with functional leaders, organizational units, and subject matter experts to identify develop and deploy new business processes, initially with its Expedited Housing Initiative, which includes landlord engagement and outreach, unit navigation, unit inspections, participant eligibility management, and payment processing. The role will expand to other areas as this major project winds down. This role is part project manager, part Salesforce administrator and part business analyst. The Salesforce Administrator will be responsible for the executing on the day-to-day configuration, support, adoption, maintenance, and improvement of our CRM platform. Over time this role will develop systems to measure our progress and, equally important, evolve and improve these systems. Position responsibilities and work volume will be established and evaluated through ongoing supervision, annual reviews, and the development of an annual professional development plan. Specific Responsibilities: Customization– approximately 40% of the job Customization of Salesforce.com application logic Interfacing/Integration Salesforce.com with other applications and databases Customization of Salesforce.com database, pages, and views Manage Salesforce requests, troubleshoot database issues, and work with staff to come up with efficient solutions to program needs. Standardize and streamline fields, processes, and tools across the agency. User Adoption/Database Administration – approximately 40% of the job Create, implement, and train staff on improvements through regular application releases. Manage internal ticketing system for database requests. Work with the appropriate teams and leaders to prioritize these requests. Create processes to ensure agency data is clean, accurate and backed-up. Understand other databases agency staff must interact with to help troubleshoot use and minimize duplicate data entry. Manage Salesforce quarterly releases and updates and inform the director of any necessary action. Review application and security logs Manage user accounts and security Manage workflow definitions Maintain a disciplined change management process including the use of sandboxes Onboard new staff to how to use the system for their role in the agency Train staff on new Salesforce functionalities, configurations, and system-related processes. Maintain and improve training curricula for staff. Maintain the knowledge management website content for staff user adoption. Create and strengthen systems for data collection, management, reporting and analysis. Work in partnership with frontline staff and the leadership team to support initiatives towards a data-driven culture. Impact and Reporting – approximately 15% of the job Maintain performance management that evaluate organizational performance against internal benchmarks. Build out and manage compelling visual dashboards for management and staff to track organizational outputs and outcomes. Analyze client data and make meaning of trends with program staff. Partner with other All Chicago teams to support reporting needs. Ensure the accuracy of reports on a regular basis. Other Tasks - approximately 5% of the position Keep current on trends and best practices in trainings and develop tools as needed Creates an annual professional development plan and actively works to meet identified benchmarks throughout the year. Actively participate in department, committee, and staff meetings. Other duties as assigned. Demonstrate excellent stewardship of departmental and organizational resources. Communicate effectively with supervisors, peers, and partners in written, oral and in-person communication in both groups and at public events. Assists with All Chicago events and other activities as assigned. . Requirements: Qualifications: Successful candidates will demonstrate commitment to preventing and ending homelessness in Chicago and will have the following: Track record of project management, particularly of complex, cross-functional initiatives Minimum of a Bachelor’s Degree plus ideally at least two years of experience administering a Salesforce system OR other CRM/database. Salesforce Certification(s) preferred. Excellent testing abilities with strong attention to detail Experience working in homeless services or other social services strongly preferred Ability to problem-solve user adoption challenges and complex database issues Ability to frame appropriate analyses and draw conclusions from data An excitement about technology and its ability to positively impact the organization Good working knowledge/skills with Microsoft Office products including, but not limited to Excel, Word, PowerPoint, Outlook, and Access. Excellent communication skills: ability to convey information in a clear and concise manner. Self-motivated with the ability to prioritize, meet deadlines and manage changing priorities. Proven ability to be flexible and work hard, both independently and in a team environment. Willingness to work occasionally outside of normal business hours and to take on more responsibilities as assigned. A strong work ethic, integrity, and the highest ethical standards are expected. This position may require out of state travel approximately two times a year. Intermittent travel to off-site locations required. Position requires frequent and regular computer and phone use. This position requires attendance during regular business hours from 9am to 5pm, Monday through Friday. Occasional night and weekend hours are required a few times a year.
